Office Carpet Cleaning: A Practical Guide for Seattle & Bellevue Businesses

If you manage an office, you probably don’t think much about the carpet until it starts looking dirty.

That’s understandable. Office carpet is usually designed to hide soil pretty well. But that’s also part of the problem.

By the time dark traffic lanes start appearing through hallways, around desks and near entrances, there can already be a considerable amount of soil embedded in the carpet.

I’ve been professionally cleaning carpet since 1986, and one thing I’ve learned is that office carpet needs to be treated differently than carpet in most homes.

An office may have dozens—or even hundreds—of people walking over the same areas every day. Add rolling office chairs, coffee spills, rainy Seattle weather and dirt tracked in from parking lots and sidewalks, and commercial carpet can take quite a beating.

The good news is that office carpet can often be maintained very effectively without constantly deep-cleaning the entire building.

The key is using the right cleaning process and cleaning the carpet before heavy traffic patterns become permanent wear.

Here’s what I recommend businesses consider when developing an office carpet cleaning and maintenance plan.

Why Office Carpet Gets Dirty So Quickly

One of the biggest differences between residential and office carpet is how people move through the building.

In a home, foot traffic tends to be spread throughout the house.

In an office, people often walk exactly the same routes every day:

• From the entrance to the reception area
• From elevators to individual offices
• Through main hallways
• Around workstations
• Into conference rooms
• Between offices and break rooms
• Around copy and printer areas

Over time, these predictable traffic patterns concentrate soil in relatively small areas.

Here in the Seattle and Bellevue area, we also have another factor working against us: our weather.

During much of the year, people are walking across wet parking lots and damp sidewalks before entering a building. Moisture, fine soil and grit get carried inside on shoes.

Some of that material gets caught by entrance mats. Some gets removed through regular vacuuming.

But some of it eventually works its way deeper into the carpet.

That embedded grit doesn’t just make carpet look dirty. It can also act like an abrasive against the carpet fibers every time someone walks across it.

That’s one reason I look at professional office carpet cleaning as more than an appearance issue.

It’s part of maintaining the flooring.

How Often Should Office Carpet Be Professionally Cleaned?

This is one of the most common questions I hear about commercial carpet.

There really isn’t one schedule that’s right for every office.

A lightly used professional office with ten employees obviously doesn’t need the same cleaning schedule as a large building with hundreds of people coming through the doors every day.

Instead of putting the entire building on one cleaning schedule, I prefer looking at the amount of traffic different areas receive.

High-Traffic Areas

Entrances, reception areas, main hallways, elevator areas and heavily traveled common areas may need professional cleaning every 4–8 weeks in a busy facility.

That doesn’t necessarily mean cleaning the entire office every month or two.

Sometimes it makes much more sense to maintain those high-traffic areas frequently while cleaning the rest of the office less often.

Moderate-Traffic Areas

Conference rooms, secondary hallways and regularly used office areas may only need cleaning every 2–4 months, depending on use.

Lower-Traffic Areas

Private offices and lightly used rooms may go six months or longer between professional cleanings.

I’ve always preferred this approach because it puts the cleaning where it’s actually needed.

If the carpet still looks good in an executive office that gets very little traffic, there’s no reason to clean it simply because the calendar says it’s time.

On the other hand, if the entrance is beginning to develop a dark traffic pattern, waiting another six months doesn’t make much sense either.

The carpet usually tells you when it needs attention.

Low-Moisture Office Carpet Cleaning

For much of our office carpet cleaning, I use a low-moisture encapsulation process.

There are several reasons I like this method for commercial buildings.

One of the biggest is simply that offices need to get back to business.

With low-moisture cleaning, we’re able to clean commercial carpet without unnecessarily saturating it. Depending on carpet construction, temperature, humidity and airflow, the carpet we clean is typically dry in approximately one to two hours.

That can be a significant advantage in an occupied office.

Employees don’t want to come into work the next morning and find wet carpet under their desks. Office managers don’t want furniture sitting on damp carpet. And property managers don’t want large areas of a building unavailable for extended periods while the carpet dries.

Fast drying allows us to clean an office with considerably less disruption.

How Encapsulation Cleaning Works

Encapsulation cleaning works differently from traditional hot-water extraction, often called steam cleaning.

We apply a specialized cleaning solution to the carpet and mechanically work it through the fibers.

I use professional counter-rotating brush equipment that helps separate soil from the carpet fibers while also lifting and grooming the carpet.

As the cleaning solution dries, it surrounds—or encapsulates—soil particles into microscopic crystals.

Those crystals are then removed through normal vacuuming.

The process uses much less moisture than traditional extraction and works particularly well as part of a regular office carpet maintenance program.

It’s also one of the reasons we’re able to achieve such fast drying times.

What About Steam Cleaning Office Carpet?

Hot-water extraction is a legitimate carpet-cleaning method, and there are situations where it makes sense.

If commercial carpet has been neglected for years or is extremely contaminated, restorative cleaning may require a different approach than routine maintenance.

But I don’t believe every carpet should automatically receive the same cleaning process.

One of the problems I’ve seen with commercial carpet is what can happen when too much moisture is introduced into heavily soiled carpet.

And that’s wick-back.

Why Office Carpet Stains Sometimes Come Back After Cleaning

Have you ever had office carpet cleaned, thought it looked great, and then noticed some of the same spots coming back the next day?

That’s often wick-back.

A spill may not remain near the top of the carpet. Coffee, beverages and other liquids can penetrate deeper into the carpet and sometimes reach the backing.

The same thing can happen with accumulated soil in heavily traveled areas.

When a large amount of water is introduced during cleaning, some of that contamination can become suspended in the moisture.

As the carpet dries, moisture moves toward the surface. It evaporates—but the soil or staining material doesn’t.

The result can be a spot that appears to return.

That’s one reason I’ve found low-moisture cleaning particularly useful for commercial carpet.

Sometimes the solution to a commercial carpet problem isn’t more water. It’s better control of the moisture you’re putting into the carpet.

High-Traffic Office Carpet Needs Special Attention

One mistake I see businesses make is waiting until all of the carpet looks dirty before having anything cleaned.

By then, the busiest areas may have been deteriorating for quite some time.

Think about the main entrance to an office.

Everyone walks through it.

Then consider a private office that one person uses eight hours a day.

Those two areas aren’t experiencing anything close to the same amount of wear.

That’s why a good office carpet maintenance plan doesn’t necessarily treat every square foot equally.

We can concentrate more frequent cleaning on:

• Entrances
• Reception areas
• Main hallways
• Elevator areas
• Break rooms
• Conference room entrances
• Areas around shared equipment
• Other heavily traveled sections

Then the entire office can be cleaned periodically when needed.

For many businesses, that’s a much more economical approach than repeatedly cleaning thousands of square feet that don’t actually need it.

Dirt and Wear Aren’t the Same Thing

This is something I think more people should understand about commercial carpet.

Sometimes a dark traffic lane is dirty.

Sometimes it’s worn.

And sometimes it’s both.

Repeated foot traffic eventually changes the physical structure of carpet fibers. Fibers can become scratched, distorted or flattened.

Once that happens, they reflect light differently.

The area may continue to look darker or duller even after we’ve removed the soil.

Professional cleaning can remove dirt.

It can’t replace carpet fiber that’s physically worn away.

This is another reason regular maintenance matters.

If we remove abrasive soil before it spends years being ground against the fibers, we can help slow down that deterioration.

Office Carpet Tile Cleaning

Carpet tile is extremely common in modern office buildings, and it’s easy to understand why.

It’s durable, practical and individual sections can be replaced if they’re badly damaged.

But carpet tile still needs regular cleaning.

Because the pile tends to be relatively short, traffic patterns can become very noticeable—particularly through hallways and around workstations.

Low-moisture cleaning is particularly well suited to many carpet-tile installations because we can clean and maintain the fibers without unnecessarily saturating the carpet.

It also allows us to maintain individual sections of an office as needed.

For example, we might clean the main traffic areas more frequently while leaving lightly used portions of the office alone until they’re actually due.

Coffee Spills and Office Carpet

If there’s one stain that seems almost universal in office buildings, it’s coffee.

Coffee gets carried from break rooms to desks, conference rooms and meetings all day long.

Eventually some of it ends up on the carpet.

The best thing you can do is address a spill quickly.

Blot it rather than aggressively scrubbing it, and avoid pouring a large amount of cleaning product into the carpet.

One problem with repeatedly treating office spots with over-the-counter cleaners is that some products can leave residue behind.

That residue may attract additional soil and create a dark spot over time.

When we clean an office, I prefer evaluating spots individually rather than simply applying stronger chemistry to everything.

Different stains require different approaches.

Can Office Carpet Be Cleaned Without Disrupting the Business?

In many cases, yes.

That’s another reason low-moisture cleaning works so well in offices.

Depending on the size and layout of the facility, we may be able to clean sections at a time or schedule the work during periods when fewer employees are present.

Larger projects can often be scheduled during evenings, weekends or other low-traffic periods.

The objective is pretty simple:

Get the carpet clean without turning the office upside down.

A good commercial cleaning plan should work around the business rather than requiring the business to work around the carpet cleaner.

Should You Clean the Entire Office or Just the Traffic Areas?

Both approaches can make sense.

If an office hasn’t been professionally cleaned for quite some time, cleaning the entire facility may be the right starting point.

After that, however, maintaining the high-use areas can often keep the overall office looking good without repeatedly cleaning everything.

For example, an office might have:

Periodic full cleaning
The entire facility is professionally cleaned.

Interim traffic-area maintenance
Entrances, hallways, reception areas and other heavily used sections are cleaned between full cleanings.

This can be an extremely effective way to maintain commercial carpet.

Instead of allowing the busiest sections to deteriorate until the next major cleaning, we’re addressing the soil where it’s accumulating fastest.

Can Regular Office Carpet Cleaning Extend Carpet Life?

In my experience, yes.

And this is where I think commercial carpet cleaning should really be viewed as maintenance rather than just cleaning.

Replacing thousands of square feet of commercial carpet isn’t inexpensive.

If regular vacuuming, good entrance matting and periodic professional cleaning can help you get additional useful years from that carpet, maintaining it makes a lot of financial sense.

Think about it like maintaining a vehicle.

You don’t wait until the engine stops running before changing the oil.

The objective is to maintain the equipment so it lasts longer.

Carpet isn’t any different.

Regular cleaning removes the soil and abrasive grit that contribute to premature wear.

That doesn’t mean cleaning carpet constantly.

It means cleaning it before accumulated soil has a chance to cause unnecessary damage.

What Does Professional Office Carpet Cleaning Cost?

There isn’t a meaningful one-price-fits-all answer.

Several things can affect the cost of cleaning an office:

• Total square footage
• Amount of carpet actually being cleaned
• Carpet condition
• Level of soil
• Number and type of spots
• Furniture and workstations
• Stairs
• Accessibility
• Carpet construction
• Cleaning method
• Frequency of service
• Whether we’re cleaning the entire facility or primarily traffic areas

Interestingly, a larger office that’s been well maintained can sometimes be easier to clean than a much smaller office that’s been neglected for years.

That’s why I prefer looking at the facility and understanding what the customer actually needs before recommending a cleaning plan.

What Should You Look for in an Office Carpet Cleaning Company?

Price is obviously part of any business decision, but I wouldn’t make it the only consideration.

I’d want to know whether the cleaner understands commercial carpet.

Ask questions such as:

• What cleaning process do you recommend for our carpet?
• How long will the carpet take to dry?
• How do you handle high-traffic areas?
• What do you do about wick-back?
• Can you clean carpet tile?
• Do we need the entire facility cleaned every time?
• Can you develop a recurring maintenance schedule?
• Can cleaning be scheduled around our business hours?

I’d also pay attention to whether the company recommends exactly the same process for every building.

After nearly 40 years of cleaning carpet, I’ve learned that there isn’t one answer that’s right for every situation.

Sometimes the carpet needs maintenance cleaning.

Sometimes it needs restorative cleaning.

Sometimes only the traffic areas need attention.

And sometimes the carpet simply doesn’t need to be cleaned yet.

I’d rather give a customer the recommendation that makes sense than sell them cleaning they don’t need.

It’s much easier to maintain carpet that’s in good condition than to restore carpet that’s been neglected.

For many offices, the best program is surprisingly simple:

Vacuum regularly.

Use good entrance mats.

Address spills promptly.

Professionally clean the high-traffic areas before they become heavily soiled.

Periodically clean the entire office when it actually needs it.

That’s not particularly complicated, but it works.

And when low-moisture cleaning is appropriate, we’re able to do much of that maintenance with very little disruption to the business.

7 Tips to keep commercial carpets looking great!

Floors are one of the largest areas in a commercial building, and customers along with the employees are sure to notice when carpet becomes soiled or stained. Unfortunately, commercial carpeting is susceptible to accumulating large amounts of dirt in a short time simply because of the high amount of traffic. While keeping commercial carpets clean can seem like a never-ending chore, the effort is worth it since clean flooring helps to keep allergies and illnesses down while maintaining a business’s positive reputation in the community. Use these tips to maintain commercial carpets to extend their life and appearance.

1. Keep Outdoor Areas Clean. The cleanliness of the exterior of the building makes a big difference in how much dirt gets tracked indoors. Have street sweepers clean parking lots frequently, and have the maintenance crew keep sidewalks and entrances pressure washed or hosed off and free of debris. To avoid mud, direct water runoff away from the building.

2. Provide Walk-Off Mats. Walk-off systems can be as simple as a special mat placed at the entrance to a building where visitors can wipe dirt off their shoes, or they can involve a series of different types of flooring that reduce the amount of dirt that makes it to the main carpet.Either way, walk-off mats are critical to reduce the amount of wear and tear that occurs to the more delicate carpets in the building. However, keep in mind that walk-off mats also require the same regular vacuuming and deep-cleaning routines that you plan for the rest of the carpeting.

3. Vacuum Regularly. The frequency of the vacuuming that occurs in your building depends upon the traffic flow as well as the activities that take place inside. For instance, you may need the cleaning team to vacuum every day in a child care center or restaurant, while a small office may only need a weekly vacuum.

4. Use Desk and Chair Mats. You can buy plastic mats to place underneath chairs and desk areas. Then, use an appropriate cleaning solution to remove the rest of the stain. Always use a solution that is recommended for that specific carpet type.

7. Arrange for Regular Deep Cleanings. With heavy traffic, a commercial building’s carpet can get heavily soiled within a short period of time. Regular professional deep cleanings remove the dirt that gets ground into the carpet fibers that is not always possible to remove with a regular vacuum.
